Before you start
The Kielty Way is our new home for every procedure (we call them SOPs), policy and piece of training. It replaces Trainual. It also holds our office tasks, the company directory, benefits info and emergency steps.
You only see what applies to your job. The app knows your role, so your training list is yours, not everyone's.
Sign in on your computer
- Open Chrome or Edge and go to kieltyway.com. Then press Ctrl + D to bookmark it so it's one click next time.
- Employee ID: it's in your welcome email.
- PIN: the numbers from your welcome email. Never share it, and never write it on a sticky note. Type them in the four boxes.
- Click Sign in. You'll stay signed in on that computer for 30 days.
Find your way around
The menu is always on the left. Click any item to go there. The bell at the top shows anything that needs your attention, and English / Español switches the whole app's language.
- Home shows your tasks, your training progress and what's due this week.
- My Training is your personal list of SOPs to read and sign.
- Tasks is your office to-do list (more below).
My Training: read and sign (due Fri, Nov 20)
- Click My Training in the menu.
- Click the first SOP that says Due. Read it all the way through.
- At the bottom, check "I have read and understand this procedure." and click Sign off.
- Some SOPs have a Quick check (a short quiz). You need 70% to pass. Missed it? Re-read and click Retake quiz.
- Keep going until your progress shows 100%.
Inside an SOP
- Purpose, Scope, What you need, Procedure, Stop points, Roles: every SOP is laid out the same way, so you always know where to look.
- Print prints a clean copy. Leer en español shows the Spanish version.
- Checklist turns the steps into check boxes you can tick off as you go.
- Flag an issue with this SOP: something wrong, missing or out of date? Type what's wrong and click Send. Your manager gets it.
- Attachments at the bottom hold the forms and files that go with the SOP.
SOP Library and Ask Your SOPs
SOP Library
Every SOP for your job, grouped by department. Type in the search box to find one by name or by any word inside it. Use the filters to narrow it down.
Ask Your SOPs
Ask a question in plain words, like "What do I do when a customer's card declines?" The app answers from our SOPs and links the exact SOP so you can read the whole thing.
Tasks: the office to-do list
Tasks replaced Asana. Every office to-do lives here: who's doing it, what "done" looks like, and when it's due. You'll see your tasks on Home and in Tasks.
The three lists
- My tasks: things you need to do.
- Assigned by me: things you gave to someone else, so you can follow up.
- My team (managers): everything your team is working on.
Finish a task in one click
- Click the circle next to the task.
- Type one line about what you did ("Called the county, inspection set for 11/14") and confirm.
- The person who gave you the task sees it's done. If they asked for proof (like a photo or a document), the task asks you to add it first.
Make a new task
- Click New task.
- Title: short and specific. "Renew the Brandon fire inspection" beats "fire stuff."
- Who is it for: pick one person or several. Picking several gives each person their own copy.
- What, Why and Done looks like: a sentence each. "Done looks like" is how everyone knows it's really finished.
- Due date, Priority (Normal, High, Urgent) and Repeats (every month, quarter or year) for things that come back.
- Checklist (optional): one step per line for bigger jobs. Click Create task.
Open a task to do more
- Start shows you're on it. Waiting on someone parks it while you wait on a vendor, a builder or a coworker.
- New due date if the date needs to move. Be honest; it's better than going late.
- Not mine / need help sends it back with a note if it landed on the wrong person or you're stuck.
- Reassign hands it to one or more other people.
- Leave a comment at the bottom. Everyone on the task can see the history.
Team review (due Mon, Nov 30)
This is where you help us get every SOP right. You do the job every day, so you know what's correct, what's changed and what's missing.
- Click SOP Inbox in the menu, then Team review. (Or click the Team review card on Home.)
- Step 1 · Your SOPs. Open each SOP, read it, then click Looks right or Needs a change.
- For Needs a change, type exactly what should change and click Send. Good: "Step 4: we text the customer from ServiceTitan now, we don't call." Not helpful: "outdated."
- Step 2 · Software check and suggestions. We already compared every SOP to the software we use today. For each item on your SOPs, pick Yes (make this change), Later, No (leave it) or Done (already fixed). Add a note if you can.
- When you reach 100%, click Tell Tanner I'm done. It opens an email to Tanner; just click send. He'll set up a time to go through your SOPs with you.
Everything else in the menu
For managers
- You see your team, not the whole company. Your SOPs, people and progress cover your roles and the people who report to you.
- Team review shows Your team's progress: who has checked how many SOPs and who's behind. Check in on anyone stuck near zero.
- People: your team's training progress, the org chart, and Send sign-in to give someone a new PIN.
- SOP Inbox: changes your team sends (Employee flags) and drafted edits (Suggested changes) waiting for approval. You can also edit the SOPs for your area directly.
- Tasks · My team: everything your people are working on, with late items on top.
Help
Ask your manager first. Can't sign in? Your manager can send you a new PIN in seconds. Found something wrong in an SOP? Flag it right on the SOP. That's the fastest way to get it fixed.
